This shift in perspective has shown us that we are not passive observers, but active shapers of our reality. But what good is even the best vision for the future if, in the here and now, we squander the most precious things we possess: our time and our undivided attention?

As soon as we view time merely as a “resource,” a logic creeps in that is also embedded in the term “human resources”—a perspective that reduces people to nothing more than a labor and utilitarian resource. Yet as human beings, we are so much more than a means of production that needs to be optimized to the maximum.

What does time management through omission mean?
Time management by omission (also known as essentialism or time design ) describes the method of increasing productivity not through higher efficiency or more tasks, but through the targeted elimination of unimportant activities and digital time wasters.

In my line of work, I see every day how we lose ourselves in the illusion that we can accomplish anything—if only we work efficiently enough. This is exactly where British author Oliver Burkeman begins in his book *4,000 Weeks: Life Is Too Short for Time Management*.

The Illusion of Infinite Time: What We Can Learn from Oliver Burkeman’s “4,000 Weeks”

Burkeman’s premise is as simple as it is brutal: If you live to be 80, you’ll have roughly 4,000 weeks on this planet. That’s all. If we truly internalize this finitude, it becomes clear that trying to clear out the proverbial “inbox of life” is a toxic endeavor.

Traditional time management leads us to believe that we just need to optimize our processes to get more done. But in reality, greater efficiency often just leads to more tasks. The solution isn’t to row faster, but to consciously decide which things we can safely ignore. Those who accept their own mortality free themselves from the compulsion to do everything and can devote themselves to what makes a real impact.

Classic Time Management

Time Design Through Omission

Goal: Complete as many to-dos as possible

Goal: Select only the most important initiatives

Focus: Efficiency & maximum speed

Focus: Effectiveness & Conscious Prioritization

Approach: Addresses symptoms (overloaded schedules)

Approach: Addresses the root cause (task overload)

Result: Multitasking & creeping exhaustion

Result: Space for deep work & genuine presence

The Attention Crisis in the Office: Why Multitasking Destroys Your Productivity

The paradox of our 4,000 weeks is that while we desperately want to optimize them, our presence in the moments we do have is drastically diminishing.

The “First Screen, Second Option” Phenomenon and Constant Digital Distraction

Our attention span in front of a screen has shrunk from 2.5 minutes in 2004 to an alarming 47 seconds. At the same time, according to a study by bitkom, we Germans check our smartphones an average of 80 to 88 times a day. Given an average waking period of 16 hours, this amounts to checking the device roughly every 10 to 12 minutes. Usage time is also rising steadily and currently stands at around 180 minutes per day.

As a result, the smartphone is increasingly becoming the remote control for our daily lives, and constant multitasking is severely fragmenting our focus. This is particularly evident in the “First Screen, Second Option” phenomenon: A study by Omdia shows that over 50% of 45- to 54-year-olds now watch videos on their smartphones while simultaneously watching TV. This trend is no longer limited to Gen Z; it has long since taken root in the mainstream and represents a fundamental shift in media consumption.

The True Cost of Interruptions: 23 Minutes of Lost Focus

We may be physically present, but mentally we’re often somewhere else entirely. Psychological studies, as reported by Quarks (WDR) and others, illustrate this (Note: Quarks is a science editorial team/media brand of WDR and not a research institute.): Simply having a cell phone on the table, combined with constant notifications, drains our cognitive capacity. After such a digital interruption, it takes an average of 23 minutes and 15 seconds for us to fully regain our focus. And multitasking—which we often convince ourselves is a miracle of efficiency at work—actually reduces productivity by up to 40%.

The Disappearance of the “First Times”—and the Magic of the Last Times

This fragmentation of our attention is particularly tragic when we consider how we perceive the passage of time. In youth, time seems endless because it is punctuated by “firsts”: the first kiss, the first paycheck, the first apartment of one’s own, the first time driving a car. These intense experiences are etched into our memory. As an article in the weekly newspaper Falter aptly describes, however, these “firsts” naturally become less frequent as we age. Life becomes dominated by routines, and perceived time literally begins to race by.

But within the finitude of life—our 4,000 weeks—lies yet another profound truth: For almost everything, there is also a “last time.” A last time you visit a certain place. A last time you complete a certain project with valued colleagues. A last time you read your child a bedtime story.

Because we almost never know exactly when that “last time” will be, it requires our full attention. But how can we truly appreciate these precious moments if our minds are already on our next appointment or we’re staring at a second screen?

Time Management in Business: 4 Steps to Greater Productivity and Deep Work

To transform from passive participants into active shapers of our time—much like in futures thinking—we need a new mindset. How can we put this into practice in our day-to-day business lives?

Radical Prioritization and Letting Go: Accept that you’ll never get through all your to-dos. Consciously choose the very most important things for the day—and set the rest aside without feeling guilty.

Deep Work Instead of Constant Distraction: Create spaces free of digital interruptions. On average, every interruption costs you over 23 minutes of focus. Keep your smartphone out of sight when doing strategically important work.

Multitasking Is a Myth: Constantly switching between tasks takes an extreme cognitive toll and wastes valuable time. Focus sequentially—one thing at a time.

Be Present in the Moment: When you’re in a meeting, be in the meeting. When you’re talking to your team, close your laptop. Honor the moment instead of passively getting stuck in the “first screen, second option” loop.

Conclusion: Time is not a vessel to be filled

We need to stop viewing time as a container that must be crammed with as many tasks as possible. The 4,000 weeks we’ve been given (hopefully at least) aren’t a countdown we have to work through efficiently, but rather an invitation to restore genuine quality to the moment.

Let’s let go of the fear of missing out (FOMO) and cultivate the joy of missing out (JOMO). Let’s build a reality in which we don’t just go through the motions, but in which we once again experience the first, the everyday, and—above all—the last moments with our full attention.

“It is not that we have too little time, but that we waste too much of it.”
    – Lucius Annaeus Seneca (Roman philosopher)

Frequently Asked Questions About Time Management & Focus

Why does traditional time management often fail in practice?

Traditional time management usually aims to complete more tasks in less time.
